Merge, Unmerge, Delete

The patient Merge/Unmerge/Delete (MUD) module enables users to consolidate records in the Case Notes database, in situations where multiple records have been created for the same patient. The Merge/Unmerge facility in this module provides a mechanism to search for potential merge candidates which may occur due to inconsistencies in data.

If duplicates are found within Case Notes, then it is necessary to merge the records to avoid putting the patient’s care at risk through the duplication of records or overlooking information contained in one of the records. Using MUD, two patient records, a primary and secondary, can be merged into one record, or unmerged back into two separate records, if the merge is subsequently found to be unnecessary.

  • Features
  • Search facility to find potential merge candidates
  • Merge facility to merge the selected primary and secondary records
  • Retains patient/episode structure for audit purposes even after the records have been merged
  • Delete facility allows the user to search for a specific patient to (logically) remove from the database. Information is never completed erased, and can be restored later if ‘deleted’ in error
  • Unmerge allows the user to ‘undo’ two records that were previously merged
  • Full audit trail of all merge, unmerge and delete actions

  • Benefits
  • Provides a toolkit to control duplicate registrations and merge two records together
  • Reduces the medical risk that results from duplicate registrations with incomplete records
  • Allows the user to decide which record becomes the primary information
  • Sets Flags to work with the Search module and the Access Control Framework (ACF) to determine which staff can access primary and/or secondary records
  • Secure - only suitably qualified clinicians can merge records
